Rental Policies & Customer Responsibilities

Deposit & Payment

  • A 30% non-refundable deposit is required to secure all rentals. This confirms your reservation, holds your items, and is applied toward your total balance.
  • The deposit is not refundable under any circumstances, including cancellations.
  • A refundable security deposit is also required to cover damages, missing items, or excessive cleaning. It will be returned within 3–5 business days once all items are returned in acceptable condition.
  • The remaining balance and any security deposit must be paid on or before delivery/setup, unless other arrangements are made.
  • We accept credit/debit cards and digital invoice payments.
  • A copy of a valid ID and payment card is required for all deliveries and pickups.

Cancellation Policy

  • Deposit (30%) is non-refundable.
  • Cancel 14+ days before event: no additional charges.
  • Cancel within 7 days: 30% of the full rental amount is due.
  • Cancel within 3 days: 75% of the full rental amount is due.
  • Cancel after loading or on delivery day: 100% of the rental total is due.

Delivery & Pickup

  • Standard delivery includes ground drop-off only.
  • Setup and teardown are available for an extra fee.
  • Deliveries are scheduled 1–3 days prior to your event, based on route planning.
  • Specific time requests may incur additional fees.
  • If delivery is over 100 feet from truck access, a $20 per 100 ft fee applies.
  • After-hours, holiday, or evening pickups may incur additional fees.
  • All items must be clean, stacked, and ready for pickup at the drop-off location.
  • A $50 minimum order is required for delivery. Orders below this may incur a small-order delivery fee.

Setup & Equipment Use

Canopies (10x10)

  • Sidewalls and weights are optional add-ons.
  • Do not remove sidewalls; we will show proper opening/closing.
  • Must be taken down in high winds, storms, or severe weather.

Tables & Chairs

  • Must be clean and stacked as delivered.
  • Tables should be folded and ready for pickup.

Games & Accessories

  • Must be returned clean, functional, and with all pieces.
  • Missing/damaged items are billed at replacement value.

Tool Rentals

  • Tools must be returned clean, dry, and in working condition.
  • Renters are responsible for damage, missing parts, or excessive wear.
  • Return all cords, batteries, and accessories.
  • Gas-powered tools must have a full tank or incur a $10–$25 refueling fee.
  • Rain/weather exposure may incur a 1/8 replacement fee.
  • Dirty tools may be charged a $10–$50 cleaning fee.
  • Late returns may be charged at 1.5Γ— the daily rate per day overdue.

Optional Damage Waiver

  • 10% of your rental subtotal (before taxes and delivery).
  • Covers accidental damage during normal use only.
  • Does NOT cover loss, theft, misuse, or weather exposure.
  • Must be added before rental period begins.

You may accept or decline by checking a box at checkout, emailing/texting, or signing:

  • I accept the 10% Damage Waiver and understand the coverage/exclusions.
  • I decline the Damage Waiver and accept full liability for all loss or damage.

Customer Responsibilities

  • Renters are responsible for all equipment from delivery to return.
  • Equipment must be protected from theft, weather, and misuse.
  • No tape, staples, pins, or adhesives allowed on any rental items (except tape under tables).
  • Do not attach anything to canopy frames or fabric.
  • Do not leave equipment unattended at public parks or overnight without permission.

Inspection & Liability

  • All equipment is inspected before delivery. Inspect items upon receipt and notify us of any issues immediately.
  • Customers assume full liability for injury or damages caused by improper use or setup.
  • VersaRentals is not responsible for accidents, weather-related issues, or misuse by the renter.

Weather Disclaimer

VersaRentals is not responsible for weather-related cancellations or damages to equipment caused by exposure. We recommend tents or indoor alternatives for weather protection.


Force of Nature (Acts of God)

VersaRentals shall not be liable for delays or failure to perform due to events beyond our control (e.g., storms, floods, power outages, road closures, or public emergencies).


Unreturned or Damaged Items

  • Unreturned or severely damaged items will be charged at full replacement cost.
  • Items not returned within 7 days after the scheduled return may be considered abandoned.
  • Late pickups due to unprepared equipment may incur additional labor or rental day charges.

Sales Tax & Permits

  • Georgia sales tax is charged unless a valid tax-exempt certificate is provided.
  • Renters are responsible for any permits or site approvals required (e.g., public parks, city lots).

Insurance & Business Use

  • VersaRentals maintains general liability insurance.
  • Renters are encouraged to check with venues or homeowners insurance for any additional protection.
